The Teams vs Outlook work philosophy

  • Teams and Outlook communication and sharing tools with different scopes
  • Understanding the difference between transmitted and interactive communication and, depending on the situation, knowing how to correctly use Teams and/or Outlook
  • The difference between the 2 main parts of Teams
  • The one used to communicate (formerly called Skype or Skype for Business)
  • The one used to collaborate (working in “teams” / “channels”)
  • This is to know when to use one or the other in an effective and appropriate way
  • The communication component with Teams
  • The 2 types of team communication
  • Informal communication (quick information requests)
  • Make an audio or video call to one or more people
  • Exchange text messages (Chat – Conversation)
  • Formal communication by sending an invitation to participate in a “virtual meeting”
  • From Teams or Outlook (calendar)
  • The Teams communication console
  • During virtual meetings
  • View the list of other participants
  • Chat (written conversation)
  • Raise your hand to ask questions
  • Show or hide the camera image
  • Enable / Disable
  • Share my screen
  • Leave the call / Join the call (meeting)
  • Find all the information
  • Meeting invitation links to join on time
  • What happened in my absence (Activity)
  • Find old conversations and start new topics (Chat – Instant or scheduled meeting)
  • The collaboration component with Teams
  • Let’s review some SMART concepts in project management
  • Collaborating with other members of my organization
  • Establish a structured action plan
  • Create a new project team
  • Assign to this project the list of people who must be involved
  • Assign a role to the members of my project team (member / owner)
  • Structure this team into channels
  • Channels with tabs
  • Once the structure is finished, communicate effectively
  • With one or more people
  • Send a message to the channel
  • Organize working meetings
  • Informal communication (instant)
  • Formal communication (by invitation)
  • Collaborate on the same document (Word, Excel, PowerPoint, OneNote)
  • Collaborating with people outside my organization
  • Some Teams options are not available for various reasons that you cannot control, such as:
  • They use a Mac / Linux…
  • They use the WebApps version of Teams and not the desktop application
  • Their Teams account is not configured correctly
  • They do not know how to configure Teams effectively
  • Practical exercises and real-life scenarios + tips and tricks
